The Knowledge Exchange Group requires a training coordinator to join our dynamic team. 

The successful candidate will be an organised and efficient team player. You will be reliable, comfortable with technology and have good commercial skills. You’ll have some experience of events or training, however we will provide full training and development to ensure you succeed in this role.

Hours: 9-5pm, Monday to Friday

About the Knowledge Exchange Group:

The Knowledge Exchange Group produces timely conferences, public policy briefings, interactive workshops and practical training across 3 brands. We run over 100 events each year, helping to inform and impact on key issues facing the public and private sectors. Politically independent, we pride ourselves on our ability to deliver events that not only provide useful information but also contribute to important debates and shape cultural change. The Knowledge Exchange Group has three divisions: Westminster Insight, Holyrood Insight and Senedd Insight. Our L&D Insight training brand will launch shortly.

Responsibilities:

You will identify, develop, market and deliver training courses, ranging in size from 5-50 attendees.  You will collaborate closely with the MD, marketing, product and operations teams to ensure commercial success.

To include:

  • Developing and managing relationships with trainers and industry bodies
  • Researching marketing, partnership and accreditation opportunities.
  • Agreeing and negotiating trainer fees, within fixed budgets.
  • Arranging advertising through social media, newsletters, links and website promotion.
  • Constructing email campaigns, building course websites, data segmentation, list pulling.
  • Liaising with trainers to create course copy and materials. Chasing speaker biographies, course materials, logos, and presentations.
  • Sending and coordinating pre-event questionnaires
  • Ensuring courses are CPD certified.
  • Sending joining instructions to delegates, delivering customer and technical support, by phone, email or online.
  • Post-course follow up – to distribute evaluation forms and analyse results. To record costs and process speaker invoices.
  • For online training ONLY – Digital platform management – To set up webinars on Zoom or Hopin and arrange tech checks.
  • For face-face training (ONLY) – on the day management of the event, including registration.
  • Sourcing source meeting rooms and A/V. Arranging travel and accommodation, within budget.

Other

  • To assist with the operations at large-scale events, if required.
  • Occasional travel within the UK may be required.
  • To undertake any other duties in keeping with this job role and to support the wider business.

Personal Attributes and Experience:

  • Six months work experience in a professional setting.
  • Evidence of previous events/training experience.
  • Educated to degree level, minimum 2:1 or similar
  • Excellent IT skills e.g. Microsoft Office, Zoom.
  • Previous use of a virtual event platform (desirable), basic graphic design skills (desirable)
  • Excellent planning and organisational skills, accurate and meticulous.
  • Excellent customer service skills, enthusiastic and helpful approach.

Due to continued success and growth in a virtual environment, the Knowledge Exchange Group requires an exceptional graduate, with work experience in a professional environment, to join our dynamic team and become an important part of our expansion.

The successful candidate will be an ambitious graduate (minimum 2:1), looking to work in public policy events.  You will have minimum one years’ experience working in events/content production. First and foremost, you will bring excellent communication, analytical and written skills.

Key Responsibilities:

  • Project management from inception to event sign off, and delivery of key targets / deadlines for each event.
  • Developing and writing of the event programme from start to finish.
  • Desk research and in-depth market research, to ensure viability of programmes, and to maximise each topic.
  • Meeting, inviting and liaising with senior-level speakers, to ensure the most appropriate and appealing line up of speakers on events.
  • Developing relationships with key industry bodies to assist with research, marketing and speaking opportunities.
  • Close collaboration with marketing and operations teams to ensure commercial success.
  • Writing copy for marketing materials and website.
  • Identification of audience, commercial partners and sponsors.
  • Communicating key conference / event updates to the wider team and senior management
  • Oversee on-the-day event running, including speaker liaisons and relationship management

Education, Experiences and Competencies:

  • Minimum one year content/event production experience
  • Educated to degree level, 2:1 minimum
  • Flexible team player, with ability to work in a fast-paced environment and to tight deadlines
  • Excellent research, written (including copy writing) and oral communication skills
  • Excellent organisational and time management skills with ability to multi-task effectively
  • Strong interest and/or understanding of government, public sector policy is preferred, but not essential
  • Proficiency in using Microsoft Office Suite

Key Responsibilities:

You will deliver virtual conferences, online training and face to face/hybrid events.

Virtual events

  • Digital platform management – to set up the event on the digital platform using in-house style and custom branding.
  • To arrange speaker rehearsals and tech checks.
  • To liaise with the production team or studio who will choreograph the live stream.
  • To create the running order for the day and master slide deck.
  • On the day event management – liaison with the production team, managing technical support, sending notifications and alerts, show calling.

Face to Face events

  • To liaise with and source conference venues and A/V providers.
  • To coordinate logistics with venues, e.g., seating, food, access, sponsor requirements, etc.
  • To deliver event materials, branding and signage (within the agreed budget).
  • On the day management of the event, including registration.

Training

  • To set up webinars on Zoom and provide technical support for the event, before and during the event.
  • To send materials to delegates and pre-event questionnaires.

Speaker communications

  • To liaise with speakers after they have been confirmed by the content team
  • To send agreement letters, including the marketing toolkit, speaker discounts, venue information, joining instructions, Chair’s Notes and virtual platform links.
  • Arranging travel and accommodation, within budget.
  • Chasing speaker biographies, logos, and presentations.

Delegate Administration

  • To send joining instructions to delegates, to chase outstanding payments.
  • To distribute evaluation forms and analyse results.
  • To deliver customer and technical support, by phone, email or online.

Exhibition and Sponsor Liaison

  • To organise the conference branding and signage for the day.
  • To manage logistical arrangements and expectations of sponsors, chase materials.

Other Duties

  • To undertake any other duties in keeping with this job role and to support the wider business.
  • Occasional travel within UK may be required.
